Follow-up

CRM for a small business: turning Facebook leads into customers

A Meta campaign stops at the form. Your revenue happens after: the call back, the follow-up, the signature. A simple CRM tracks each lead through to the sale. It gives you your real cost per customer, and it can help Meta find better leads.

  • A lead not called back is budget wasted. The ad did its job; the follow-up did not.
  • Without a CRM you judge ads on volume. You know which ad brings forms, not which ad brings customers.
  • Meta cannot see your offline sales. A quote signed on the phone does not exist for it.

The trap: leads arrive everywhere. In Meta, by email, by phone. Without one place, some get lost.

The minimal pipeline, in 5 stages

Stage What it means Next action
New The lead has just arrived Call, ideally the same day
Contacted First exchange done Check need, budget, timing
Qualified Right need, right budget, right moment Send a quote or book a meeting
Quote sent Proposal pending Follow up on a fixed date
Won or lost Decision made Record the reason if lost

Five stages are enough to start. Add more only if you really use them.

Working out your real cost per customer

Cost per customer = ad spend ÷ number of signed customers

Example: €600 spent, 40 leads, 4 signed customers. Cost per lead: €15. Cost per customer: €150.

Compare that figure to what a customer brings in (guide 1). It is the one that says whether your campaign pays.

Record the reason for each loss too. If one ad mostly brings "no budget", the problem is the angle, not your salesperson (guide 3).

Sending the signal back to Meta: the qualified leads objective

Meta offers an objective that optimises towards leads that become qualified, not just towards submitted forms. It requires connecting your CRM through the Conversions API for CRM.

According to Meta, advertisers using it with a connected CRM saw an average cost per qualified lead 15% lower than with the standard Leads objective.

The conditions Meta states:

  • Use instant forms.
  • Generate at least 200 leads a month.
  • The target stage, "qualified" for instance, is reached within 28 days.
  • Between 1% and 40% of leads reach that stage.

The trap: 200 leads a month is out of reach for most small businesses. Start by tracking your leads properly. The day you have the volume, your data will be ready.

The 15-minute weekly routine

  • ☐ Every new lead has a stage
  • ☐ No lead sits in "New" for more than 24 hours
  • ☐ Quotes with no reply are followed up
  • ☐ Every lost lead has a recorded reason
  • ☐ This week's cost per lead and cost per customer are calculated
  • ☐ Compared against my maximum cost per lead

Frequently asked questions

Which CRM should a small business choose?

The simplest one you will actually use. At the start a spreadsheet can do, as long as every lead carries a stage and a date.

How fast should I call a lead back?

As fast as possible. Set a simple rule, same day for instance, and hold it. A lead who waits two days has already called someone else.

Should I connect my CRM to Meta?

Yes if you have the volume. Meta states a minimum of 200 leads a month for the qualified leads objective. Below that, track your leads well and wait.

Why record the reason for each loss?

To know whether the problem is the advertising, which brings poor leads, or the follow-up, which handles them badly. Both are fixable, but not in the same place.
